Controller and scope

Website, hosting and security
The website runs on OpenAI’s ChatGPT Sites using Cloudflare infrastructure. STRATO manages the domain and DNS, not the website content. Requests may involve IP addresses, timestamps, requested URLs, browser information and technical error data. Secure delivery, troubleshooting and abuse prevention are based on Article 6(1)(f) GDPR.
Cloudflare uses the __cf_bm security cookie to identify automated traffic. It expires after 30 minutes of inactivity. It is not an advertising or analytics cookie deployed by Birgit. Storage technically required for secure delivery is based on section 25(2) of the German TDDDG.
Contact form and Web3Forms
Only when you submit the form are your name, email, German level, requested support, possible times, teaching intensity and message sent over HTTPS to Web3Forms (Web3Creative, India) and forwarded to Birgit by email. The service also receives IP and technical connection data. Name, email, level and requested support are required to send the form; possible times and the message are optional. You can email Birgit directly instead.
Web3Forms currently states a maximum retention period of three years, which may be shorter depending on the plan or earlier deletion. This notice does not promise deletion after 30 days. The service uses international infrastructure and may share IP and email addresses with its spam-prevention providers. This website has no separate enquiry database.
Responding to enquiries and email
Birgit uses your information to answer your enquiry and arrange lessons personally. Email is handled through Apple iCloud; STRATO is also involved when forwarding through the domain email address. Ordinary email is not guaranteed to be end-to-end encrypted.
The basis is Article 6(1)(b) GDPR for steps towards or performance of a contract; otherwise Article 6(1)(f), with the interest of properly answering incoming questions. Please do not send identity documents, health information or unnecessary sensitive data.
Findus: local answers and AI chat
Findus is an optional AI-supported information chat. Quick choices and recognised standard questions are answered in the browser without an OpenAI request. Only a submitted free-text question that cannot be answered locally is passed through our server route to the OpenAI API: up to 600 characters, the language, up to three shortened previous question-and-answer pairs and relevant public information about the lessons.
Requests use store: false. This does not mean OpenAI retains no data: the provider states that security and abuse-monitoring logs are normally retained for up to 30 days, or longer in justified exceptional cases. OpenAI states that API content is not used for model training by default.
The conversation stays in the memory of the open page and can be removed with “Clear chat”; merely closing the chat window does not delete it. The website keeps no permanent server-side conversation history. A random session identifier, request counts and timestamps are processed temporarily to limit abuse and cost. The application keeps no permanent IP register for this.
The purpose is information about Birgit’s lessons, based on Article 6(1)(f) GDPR; specific pre-contractual questions may fall under Article 6(1)(b). You can use the website or email without AI chat. Findus makes no binding decisions, bookings or automatic submissions. Only your click can copy the last question into a contact-form draft. Do not enter sensitive data or document contents.
Browser storage and tracking
Your choices to hide Findus or reduce motion are saved in localStorage until you change them or delete the website data. sessionStorage holds animation and one-time-hint controls, a session identifier and an AI request count, generally for the browser session. It does not hold chat text or contact-form contents.
No Google Ads, Analytics or Meta tracking scripts, marketing pixels, remotely loaded fonts or embedded maps/videos are configured. Prepared measurement attributes transmit no data. Storage supports presentation, selected preferences and protection, not advertising profiles.
Online lessons with Google Meet
Lessons take place online with Google Meet. Meet is not embedded here, so simply visiting the website does not start a video call. When you join an agreed lesson, Google processes connection and participant data and the audio, video, chat or screen content you choose to share.
Processing needed to deliver agreed lessons is based on Article 6(1)(b) GDPR. This website does not record lessons. Details of the Google account used and any separately agreed recording must be clarified before participation.
Retention and security
Enquiries are retained for as long as needed to handle them and for further agreed communication. Information required by statutory retention obligations or to establish or defend legal claims is kept longer where necessary. The purpose and applicable legal periods determine retention, rather than one universal period.
External providers’ linked retention rules also apply. “Clear chat” does not remove provider logs already transmitted or emails already sent. The website uses HTTPS; entirely risk-free transmission cannot be guaranteed.
Your rights and complaints
Subject to legal conditions, you have rights of access, correction, erasure, restriction and data portability. Any consent you have given can be withdrawn for the future without affecting earlier lawful processing.
Objection: you may object to processing based on Article 6(1)(f) GDPR on grounds relating to your particular situation. Contact Birgit at the address above to exercise this or other rights.
You may complain to a data protection supervisory authority, particularly where you live, work or suspect an infringement. The Lower Saxony data protection authority is a contact point for Birgit’s location in Cuxhaven.
Recipients and international processing
Recipients may include Birgit, the hosting, form, email and communication providers named above, and their sub-processors. Processing outside the European Economic Area is possible, particularly in the USA and by Web3Creative in India. German-only or EU-only storage is not promised.
Transfers to third countries are subject to Articles 44 onward GDPR. Web3Forms refers to standard contractual clauses in its data processing agreement. Agreements, safeguards and retention periods for the specific accounts still require separate legal review; this notice does not claim that such a review is complete.
